Connecting Google Workspace lets you import teammates directly from your company directory. Their profile information (name, job title, contact details) syncs automatically, so you don’t have to enter data manually — and it stays up to date as changes happen in your directory.

Before you start

You’ll need Super Admin permissions on your Google Workspace account to complete the connection. If you don’t have Super Admin access, you can invite someone from your IT team to complete this step for you — Scribe provides a built-in option to do this during the setup flow.
Scribe is SOC 2 Type II certified and only requests limited read access to your Google Workspace. Scribe cannot edit, delete, or send emails on your behalf.

Connecting Google Workspace

There are two ways to start the connection: from the + Add Teammates dropdown on the Teammates page (select “Google Workspace”), or from Integrations → Teammates tab where you’ll find the Google Workspace card. Both paths open the Synchronize Teammates setup flow, which walks you through the connection in a few steps: Step 1 — Connect Google Workspace. The modal explains what the integration does and gives you three expandable info sections to review before proceeding: the Super Admin role requirement, how teammate selection works, and Scribe’s SOC 2 certification and data access policy. Click Connect Google Workspace to proceed, or Invite a Super Admin if someone else needs to complete this step. Step 2 — Sign in with Google. Choose the Google account you want to sync with Scribe, then sign in. You’ll be asked to authorize Scribe’s access — review and accept the requested scopes. These are read-only permissions that allow Scribe to pull directory information. Step 3 — Select teammates to sync. This is where you choose exactly who gets imported. You don’t have to sync your entire directory — pick only the people who need email signatures. You can select teammates in three ways:
  • Teammates — Browse and select individual people from your directory
  • Units — Select entire organizational units to import all members at once
  • Groups — Select Google Groups, which you can expand to see individual members before syncing
Use the search bar to find specific people, units, or groups. A “Select all” option is available if you want to import everyone. At the bottom of the selection screen, two additional options let you fine-tune the sync:
  • Auto-sync new teammates added to Google Workspace — When enabled, any new employee added to your Google Workspace directory will automatically appear in Scribe. This keeps your teammate list current without manual updates.
  • Import email aliases — If your teammates have email aliases (e.g., support@company.com in addition to their personal address), enable this to import those as well. The number of available domains is shown next to this option.
Click Sync teammates to start the import. Done! A confirmation screen shows how many teammates were synced. Future updates in your Google Workspace directory (new employees, job title changes, etc.) will automatically sync with Scribe.
You don’t need to import everyone at once. Start with a small group to test your setup, then come back and add more teammates later through the same flow.

Inviting a Super Admin

If you don’t have Super Admin access to Google Workspace, click Invite a Super Admin during the setup flow. Enter the email address of someone on your IT team who does have Super Admin access — they’ll be added as an admin in your Scribe workspace so they can complete the Google Workspace connection for you.

What happens after syncing

Once connected, Scribe automatically syncs your Google Workspace directory once per day based on your time zone. You can also trigger a manual sync at any time by clicking Refresh on the Teammates page. Synced data flows one way — from Google Workspace to Scribe. If a teammate’s name, job title, or other details change in your directory, those updates will appear in Scribe after the next sync. To change synced fields, update them in Google Workspace rather than in Scribe directly. You can manage which teammates are synced at any time by clicking Edit teammate selection on the Teammates page.
