How do Scribe email signatures work with email aliases?
Each user can have unlimited email aliases with their own signature. Scribe charges per user, not per signature, so aliases don’t cost extra.
Each user in Scribe can have one signature for their primary email and unlimited signatures for their email aliases. Scribe charges per user, not per signature, so additional aliases don’t increase your costs.
An email alias is an alternative email address that forwards to a primary account. For example, someone might use both jane@company.com and jane@company.co.uk from the same inbox. Each alias can have its own dedicated signature in Scribe.
When you assign a signature to an alias, it appears automatically when composing an email from that alias in Gmail or Outlook. Your teammates don’t need to do anything. The right signature shows up based on which “From” address they select.
An alias belongs to one person. An address that a whole team sends from, like support@ or sales@, is set up differently depending on your provider:
Microsoft 365: the address is usually a shared mailbox. Import shared mailboxes from Microsoft Entra ID and assign them a signature like any teammate. The Outlook add-in and server-side installation both apply it when someone sends from the shared mailbox.
Google Workspace: add the address as an alias on each teammate who sends from it. Each of them must also have it as a Send mail as address in Gmail, or the installation fails with User not found.
If you sync teammates from your email provider:Scribe automatically imports email aliases from your Google Workspace or Microsoft Entra ID directory. Any alias configured in your provider will be available in Scribe without manual setup. If you manage teammates manually:
Go to your teammates list
Click the edit icon next to the teammate’s name
In their profile page, click “Add an email alias” at the bottom
Once the alias is added, you can assign a specific signature template to it, just like you would for a primary email address.
This is useful for people who send from several addresses, such as a regional domain or a team address, and need a different signature for each context.
